Volunteer Portal FAQs
What is the Volunteer Portal?
The Volunteer Portal is a volunteer platform made by ‘Rosterfy’.
Through the Portal, you can apply for volunteering roles and track your progress through each stage of the application process — including any required training and checks. You can also use the portal to update your personal details and manage your volunteering activities in one place.
How can I sign in to the Portal?
You can access your the Portal via the button above, or through your web browser via the login link: https://ukmt.rosterfy.
I’ve forgotten my password
Don’t worry, this can happen! Visit the login page, enter your email address, and click ‘forgotten password’. This will send you a password reset: https://ukmt.rosterfy.
My username hasn’t been accepted
Your username is the primary email address we have on our records for your account. Please email volunteering@ukmt.org.uk if yours is not working.
Updating my personal details
Once you’ve logged in, you will be welcomed to UKMT’s volunteer portal as a registered volunteer.
Navigate your user-friendly dashboard, and on the left-hand side menu you will see:
- My Profile – a section that has been pre-populated from the information we hold on you, including your Training & DBS checks. You can update your Skills & Experience, Consent, Dietary Requirements, Emergency Contact, and your BACS details
How do I register as a new volunteer?
Please sign up through UKMT’s registration form: https://ukmt.rosterfy.uk/register
What is the registration process for new volunteers?
You will be moved through certain checkpoints within the Portal so you can see the progress of your application.
Checkpoints are the six stages of your application, shown as numbers across the top of your dashboard. You will be able to see when your application is complete, and when you can begin being confirmed in volunteering roles.
There are the following stages to the registration process:
Welcome to UKMT – Application submitted.
Reference Check – Referee details submitted and verified.
Application Under Review – UKMT assesses suitability.
Training – Complete training and DBS checks if necessary.
- Volunteer Agreement – Sign your Volunteer Agreement
Registered Volunteer – Active as a volunteer.
How is my data used?
Who can act as a referee for me?
A referee is someone who has known you for at least six months and is not a relative or partner.
If your referee has no email address, you can provide their phone number. The Volunteering Manager volunteering@ukmt.org.uk will contact them directly.
What training is required for my role?
Some volunteer roles require training, such as Safeguarding or First Aid. Your mandatory eLearning courses will show in the ‘Training’ section.
Additional courses may be assigned depending on your role. If you don’t see any training listed, it means your role doesn’t currently require it, or your previous training is still valid.
What are DBS checks, and why are they required?
To ensure students’ safety, all roles where volunteers have face-to-face interaction with students or access to their personal data require an Enhanced DBS check, with reference to the Child-Barred List. They’re conducted through the provider ‘uCheck’ using integrated apps like Yoti and EasyID for digital identity verification.
Yoti and EasyID are apps that verify your identity securely through encrypted data. They use facial recognition to compare your photo ID with a live selfie. You will be asked to verify your identity with a specific combination of documents, including your passport, driving licence, national identity card, UK CitizenCard, UK Young Scot Card, UK Post Office PASS Card or your British resident permit.
Who do I contact when I'm a registered volunteer?
Each role has a lead volunteer and UKMT staff members who coordinate the various activities. You will be in touch with them directly regarding your role assignments and the specific volunteering you will be doing. You can also contact our Volunteering Manager volunteering@ukmt.org.uk at any point.
